Got a mailbox quota warning email?

Quota warnings happen when too many messages have built up inside your mailbox on the server. This guide walks you through clearing them out from webmail so your account drops back below the limit.

Each IT Design hosting plan shares space between your website and your email — so a stuffed inbox can eventually affect your site too. A short clean-up every few months keeps everything running smoothly.

Before you start

You will need webmail open

Log into your webmail at webmail.itdesign.co.za using your email address and password before following the steps below. If you have never logged in before, the webmail access guide walks you through it.

Clean up the server mailbox

  1. Open the folder you want to clean

    Click into your Inbox, Sent, Junk or Trash folder — whichever you want to start with. Most clean-ups start with Inbox and Sent.
  2. Flag the messages you want to delete

    Click the flag column next to each message you no longer need. A flag icon will appear beside each one you have marked.
  3. Select the flagged messages

    Click the Select box at the bottom of the screen and choose Flagged. The flagged messages will highlight blue.
  4. Or — select everything in the folder

    If you want to clear the entire folder, click the Select box at the bottom and choose All instead. Every message in the folder will highlight blue.
  5. Delete the selected messages

    Check the blue selection one more time, then click the Delete button at the top of the screen.

One-way action

Deleted items cannot be restored from webmail. If there is anything important you might still need, move it to a local folder on your computer before you delete.

Tip

You will probably have several pages of older mail. Work through them one by one — quick housekeeping every quarter beats a panic clean-up under a quota warning.
